Mission description

Based in Freetown, Sierra Leone, the Project Assistant will be part of a team based in West Africa (Togo, Sierra Leone, Guinea, Nigeria). Under the supervision of the National Coordinator, the Project Assistant contributes to the organization and implementation of the activities of the PROTECT project.

Main Responsabilities

1. Logistics Management (≈ 60%)

  • Ensures or supports the logistical organization of events or purchases (seminars, training, workshops, meetings, steering committees; purchase orders; welcoming and coordinating providers during events, etc.), in connection with the USP and/or beneficiary administrations.
  • Contributes to programming, organizing, and ensuring the smooth running of field missions with a focus on cost optimization and operational efficiency: travel, accommodation, per diem, project documentation, etc.
  •  Manages the sending of invitations, establishes participant lists, manages attendance sheets, and distributes per diems.
  • Prepares the supplies and equipment necessary for the smooth running of activities (orders to providers, order tracking, etc.).
  • Checks the availability and functionality of projection or audio equipment.

2. Administrative Management (≈ 40%)

  • Manages the administrative aspects of files related to the operational implementation of the project.
  • Drafts and formats administrative documents : minutes of meetings and workshops, letters, notes, etc.
  • Provides support for the general organization of the project: organizing meetings, sending emails, telephone follow-ups, receiving and distributing mail, etc.
  • Ensures the archiving of project documents and supporting evidence in both paper and digital formats.
  • Supports, if necessary, the organization of events in other countries of intervention of the project.
  •  Supports the Project Manager for any other task necessary for the smooth running of the project.
  • These missions are not exhaustive and may be adapted according to service needs. 

Project or context description

PROTECT

Expertise France is a public agency and the inter-ministerial actor in international technical cooperation, a subsidiary of the Agence Française de Développement (AFD Group). As the second-largest agency in Europe, it designs and implements projects that sustainably strengthen public policies in developing and emerging countries. Governance, security, climate, health, education… It intervenes in key areas of development and contributes alongside its partners to the realization of the Sustainable Development Goals (SDGs) for a shared world.

Context

The general objective of this regional project is to protect victims and survivors of trafficking in human beings and strengthen the initiatives, actions, and capacities of actors involved in the fight at local, national, and regional levels in the Gulf of Guinea countries. It follows the experience in the fight against trafficking in human beings acquired by Expertise France and its partners within the framework of a previous European and French co-financing.

With an estimated launch early 2026, the PROTECT project "Support for the fight against human trafficking in the gulf of Guinea countries," funded by the AFD over 4 years, will cover Sierra Leone, Guinea, Togo, Benin, and Nigeria, as well as Côte d’Ivoire, Liberia, and Ghana for the regional component. It is structured around 5 components:

  • Component 1: Strengthen coordination, gender sensitivity, and efficiency of national bodies.
  • Component 2: Support the strengthening and gender awareness of the criminal justice chain.
  • Component 3: Prevent trafficking and protect victims/survivors, including voluntary repatriation and socio-economic reintegration.
  • Component 4: Strengthen bilateral, cross-border, and regional cooperation.
  • Component 5: Improve the production and analysis of quality data and knowledge. 

Required profile

Training & Education

·         Degree in administration, logistics, project management, or any related discipline.

Professional Experience

·         Minimum professional experience of 3 years in a similar position.

·         Proven experience in logistics management and/or administrative follow-up and secretarial work.

Technical Skills and Abilities

·         Good mastery of Office tools, especially Excel and Word.

·         Mastery of project management fundamentals and event organization is an asset.

·         Excellent organizational skills and meeting deadlines.

·         Good writing skills and proficiency in English (written and oral) required. Working knowledge of French is desirable.

·         Ability to manage several tasks simultaneously and prioritize.

·         Autonomy, proactivity, and reactivity.
