Mission description

Under the hierarchical supervision of the Team Leader, and directly collaboration with the Senior Project Assistant, the Junior Project Assistant provides administrative, financial, linguistically and logistics support to the project. The positon requires a high degree of autonomy and interpersonal skills appropriate to working in a European, international and multicultural environment, as well as a good command of English. 

Project or context description

Administrative and financial support : 

  • Coordinate with operational team and with Expertise France and DMI HQ the implementation of the internal control system and the administrative and financial procedures of Expertise France
  • Assist with the project team in implementing activities. Support the preparation of meetings, steering committees, and other project-related events. 
  • Participate in the assessment and evaluation of project activities.
  • Help draft technical reports and contribute to internal and external reporting.
  • Handle administrative management of operational files, including archiving and organizing the server.
  • Assist in document research and manage secretarial tasks (scheduling appointments, drafting and sending correspondence).
  • Recovery of supporting accounting documents and preparation for payment.
  • Support during audits
  • Prepare and follow up Customers payments.
  • Follow up banking operations.
  • Periodical reports on project expenses, and payments.
  • Periodical transfer request.
  • Record of supporting documents (Time sheet, boarding pass, …)
  • Record incidentals according to strict practical guide (classify incidentals by approval, make sure approval budget is not exceed, …)

Logistical Management:

  • Plan and provide all transportation services, such as travel arrangements, reservations and ticketing, visa applications, hotel and taxi reservations, travel expenses, and expenses for the program team.
  • Organize and ensure the smooth execution of missions: travel arrangements (air tickets, per diem), security instructions, liaison with the French embassies in the visited countries, preparation of participants' files, management of relations with service providers (hotel, meals, translation services, etc.)
  • Assist in planning, organizing, and optimizing costs for national and international missions.
  • Help manage administrative tasks for service providers, from pre-identification to mission execution.
  • Monitor purchases and current material needs (computers, supplies, etc.).
  • Responsible for managing the stock of consumables, cleaning and office supplies or other materials, recording their entry and exit
  • Ensures up-to-date and organized physical and digital archive
  • Performs other duties assigned by his/her hierarchical superior inherent to the administrative, accounting and logistical function
  • Permanently analyses the processes inherent to its area of responsibility, defining and implementing actions aimed at promoting rationality of operation, continuous improvement, quality of execution, and minimization of the costs of the activities developed.

Linguistic support:

  •         Reviewing documents for grammar, clarity, and tone
  •         Polishing presentation slides, proposals, or briefings
  •         Ensuring consistency in terminology and formatting
  •         Finalizing reports before submission to clients or stakeholders
  •         Translating documents or emails
  •         Assisting with multilingual communication between teams or with clients during meetings and events
  •         Supporting translation project workflows
  •         Maintaining a project glossary or term base
  •         Standardizing language use across documents
  •        Coordinating with technical writers or translators to ensure accurate terminology

Required profile

  • Higher education (e.g. Diploma) in accounting and/or administrative and financial management or related field
  • Good knowledge of General Accounting.
  • Have worked in cooperation agencies or non-governmental organizations
  • Proven experience in the use of Microsoft Office (MS Word and Excel), email and virtual communication platforms;
  • Fluency in both spoken and written English. French is an advantage.
  • Knowledge of European Union management procedures is an advantage.
  • Position requires 2 years of work experience in similar roles.
  • Good knowledge of administrative practices, logistics and taxation.
  • Proven experience and translation and/or interpretation
