Mission description

Under the supervision of the Communication Manager and Communication Officer based in Chisinau (Moldova), the photographers are responsible for the production of high quality photographs to support the communication and visibility activities of the EU4Innovation East project. The objective of this assignment is to ensure the availability of professional photographers to document various project activities, events, or milestones as they occur. This includes, but is not limited to, conferences, meetings, workshops, public events, and other project-related activities.

The role requires a high degree of autonomy and interpersonal skills suitable for an international and multicultural environment.

*Location: EU4Innovation East is a regional project, thus we are looking for photographers based in the following countries: Armenia (Yerevan), Moldova (Chisinau) and Kiev (Ukraine). One photographer per country will be selected.

Objectives and tasks

The photographers will provide the following services on an as-needed basis:

·       Attend and photograph project-related events or activities, including but not limited to:

-          Conferences, seminars, or workshops.

-          Networking events, meetings, or community outreach activities.

-          Key project milestones or achievements.

-          Promotional or branding activities related to the project.

·       Capture a variety of images, including candid shots, group photos, venue shots, and close-ups of people or key moments.

·       Edit and deliver high-quality images in a timely manner, ensuring they meet the project’s standards for use in promotional materials, social media, reports, etc.

Availability and Response Time

  • The photographer must be available on short notice to attend events or activities when required.

Principles:

  • The photographer must respect the privacy of all individuals photographed and ensure that proper consent is obtained when necessary;
  • All photos taken must be appropriate and align with the values and goals of the project;
  • All files, including original assets and the final output, will be the intellectual property of EU4Innovation East, which holds exclusive rights to the submitted materials in perpetuity;
  • All images and information related to the project are confidential and should not be shared with third parties without prior written consent;
  • The photographer must maintain the confidentiality of any proprietary or sensitive information encountered during their work;
  • The photographer will be responsible for their own transportation and any travel expenses incurred for attending events unless otherwise agreed.

 

Expected deliverables 

For each event or activity attended, the photographer is expected to deliver the following:

o   A gallery or digital folder containing all the images taken during the event – edited in specialized photo editing software;

o   A gallery or digital folder containing a selection of up to 30 best images from the event, edited in specialized photo editing software;

o   Images in both high-resolution and web-friendly formats (JPEG/PNG/TIFF);

o   The delivery of the selection of up to 30 edited best images from the event should occur within 4 hours after each event or activity.

o   The delivery of all the images taken during the event, edited in specialized photo editing software, should occur within 48 hours after each event or activity.

MISSION TIMEFRAME 

The expert will work on a task order basis and must provide the project with timesheets describing his involvement in the implementation of this service.

Project or context description

The EU4innovation East project is driving a transformation in economic resilience and innovation, enhancing the competitiveness of the startup ecosystem within 5 countries of the Eastern Partnership (EaP) region: Armenia, Azerbaijan, Georgia, Moldova and Ukraine. At the heart of the project is a strategy designed to nurture high-performance incubators, expand funding and market opportunities for startups, and provide tailored support to Ukraine’s emerging tech sector. Through strategic co-financing, skills development, regulatory assistance, and a strong commitment to gender inclusion, EU4Innovation East is laying the foundation for sustainable, long-term growth in the region, ensuring that innovation is both inclusive and impactful. The EU4Innovation East project is implemented by Expertise France, funded by the European Union and co-funded by the French government.

In order to ensure visibility of the project’s activities and raise awareness on the topics related to the project, Expertise France is looking for photographers to support the EU4Innovation East project with high quality and original photographs. The project requires skilled photographers to be available on a retainer basis to capture high-quality images of various events, activities, and milestones that may arise throughout the duration of the project.

Specific

Objectives:

SO1: Enhance early-stage funding access for EaP startups, especially those led or co-founded by women, by creating a new funding mechanism and improving incubation programs, including technology transfer initiatives.

 

SO2: Foster innovation development in EaP ecosystems by structuring and improving the business environment.

 

SO3: Amplify the visibility of EaP startups and strengthen connections with European investors, fostering both funding acquisition, market access, and increased local interest in the entrepreneurial journey.

 

SO Ukraine: Formulate a customised strategy for Ukraine, integrating French co-financing, to navigate and capitalise upon the distinctive challenges and opportunities encountered by the Ukrainian startup ecosystem during the ongoing reconstruction period.

Required profile

EXPERT PROFILE 

       Qualifications as professional photographer and a demonstrated minimum of 3 years’ experience as professional photographer;

       Good knowledge of technical requirements and settings for taking photos in various settings (i.e. outdoor, indoor, portraits, group activities etc.) is expected;

       Previous experience within similar projects or in working with NGOs/INGOs will be considered an asset;

       Proficiency in English is required.

       The photographer must have access to and own necessary equipment (camera, lenses, lighting, editing software, etc.).

       Strong understanding of file preparation for digital and print media, including resolution, color profiles, and output formats.

       The photographer must be able to meet the deadlines for image editing and delivery.

       Ability to work under tight deadlines, providing high-quality work in a timely manner.

       Demonstrated ability to develop creative concepts from initial ideas through to final production.

APPLICATION PROCESS

The application should include :

-       Short profile, including CV, diplomas, certificates of photography-related studies;

-       Detailed individual portfolio showcasing range of work (i.e. outdoor, indoor events, portraits, group activities etc.);

-       Financial proposal indicating two positions: price for 0,5 working day (4 hours) and price per 1 working day (8 hours). Both positions should include a lumpsum amount, including the editing process
