Mission description

In close coordination with the Project Manager, coordinate and organise activities implemented by the project;

  • Assist in identifying target audiences, objectives to reach, themes and formats of events;
  • Conceptualise and suggest activities (high-level events, think tank, conferences, workshops…) through the drafting of concept notes and TORs, with the support of key-experts and regional coordinators;
  • Review the activities concept notes to recommend improvements on topics, articulation and format of the event;
  • Receive final event concept notes from the project’s regional coordinators after validation by the Project’s Technical Director, or actively request to receive these in time, to ensure timely information flow on logistical needs;
  • Ensure the coherency of the planned activities with the objectives and indicators of the project (logical framework);
  • Support the event organisation (protocols, moderation, follow-up with the service providers to finalise service quotations and contracts…);
  • Delegate responsibilities in organising logistics for each event to the project assistants and engage in regular follow-up to clarify event needs;
  • Being the point of contact for the project’s regional coordinators to discuss event format, possibilities and following up on the timely implementation with the regional coordinators of the solutions found;
  • Regular coordination with the Project Manager to ensure that event costs are in line with foreseen budget and that eventual challenges are addressed in a timely manner;
  • Network with relevant stakeholders in the EU services, partner countries and maintain a working relationship when relevant with local administrations, and relevant regional and international organisations;
  • Support the Project Manager in the submission of STE profiles for validation, upon coordination with Regional Coordinators and validation by the Project Manager and the Team Leader;
  • Support regular high-quality reporting on project activities to the project management team and the EU;
  • Provide input to the annual progress reports and the final report on relevant activities by liaising with the Technical Director and the regional coordinators;
  • Any other task linked to the position upon demand of the Project Manager, the Unit Coordinator or the Head of Section.

Project or context description

The European Union Partner-to-Partner Export Control Programme for Dual-Use Goods (EU P2P) is implemented since 2005. Its overall objective is to contribute, through projects, to the establishment, consolidation or update of effective strategic trade control (STC) systems for dual-use goods by offering a long-term perspective for cooperation and mutual economic benefits of export controls convergence. 

It aims at cooperating with strategic partners to jointly enhance the effectiveness of dual-use trade control systems worldwide by sharing experiences and best practices and supporting compliance with international obligations under CWC, BTWC, NPT and most notably under UN Security Council Resolution 1540.

The EU P2P “Project 103”, starting in January 2024 for a duration of 36 months, will cover Partner Countries in Central America, South America, Eastern Europe and Caucasus, North and Western Africa, Eastern Africa, Southern Africa, South Asia, and Southeast Europe. Its implementing consortium is led by Expertise France and seeks Regional Coordinators for implementing the project with the Partner Countries.

Required profile

Qualifications and skills

  • Relevant degree in finance, accounting, administration, event management, tourism, international relations, political science, economics, law or equivalent;
  • Proficiency in the Office pack (Word, Excel);
  • Fluency in French and English;
  • Excellent writing and communication skills

 

Professional experience

  • At least 2 years' professional experience in a related role or on tasks equivalent to those in the job description; 
  • Experience as a tour operator and event organiser would be an asset;
  • Experience in accounting and finance would be an asset;
  • Experience in project management, particularly in the implementation of international development cooperation projects, would be an asset;
  • Experience of working with high-level policy-makers, embassies and international organisations would be an asset;
  • Experience with EU procedures related to development cooperation (PRAG etc.) would be an asset;
  • Knowledge of Spanish would be an asset.

Additional information

The Event & Logistic Officer will be based in Expertise France's office in Gare de Lyon, Paris. Starting date is 1 March 2024. Contract with possibility of renewal.
